Let's talk about Transformation

Transformation is a 'big' word accompanied with big expectations. It's also not one 'big thing' that brings 1 big massive result. Transformation is all about changes & fixes in small components working in parallel and in sync to subtly and slowly bring about change.

We like to use the word transformation because it sounds more ambitious and grand. But sometimes, the simplest of fixes - especially in smaller companies - are in fact transformational

Transformation happens across 3-tiers

​

  • DIGITAL: This is all about the having the right employee productivity tools, cloud IT infrastructure, cybersecurity and data protection. It's ensuring your company has the necessary IT protection and flexibility in place, so that your energy is focused on the commercial aspects of the business. This tier is actually the simplest form of transformation. It needs a good IT department, knowledgeable suppliers and a budget to support the changes.

  • BUSINESS: In this second layer, it's not about strategy of growing your business, but more 'introvert' assessment looking at what you can improve internally to make today's business more efficient. It's about identifying where processes need to be introduced, where automations can save time and bring efficiencies. It's where you can slowly start introducing AI. This tier is the more complex and perhaps time-consuming and often requires significant budgets for the implementation of new tools. It may also lead to necessary organisational changes.

  • CULTURAL: This foundational tier is by far the most critical and not surprisingly the most difficult to change. Shifting mindsets, changing years of habits, learning to unlearn and relearn are all together a very hard nut to crack. A few key people within the company might prove to be blockers to the entire cultural transformation effort. This tier might be the least costly, but it is definitely the main and key ingredient for the entire transformation ambition to succeed. This tier may require very tough people decisions.​​​​​​​​​​​​​​​​​​​​​​​​

Introducing AI

  • In a historically, very manual way of working, it's hard for many within to pinpoint where and how automation can be introduced. Basic processes such as customer orders coming in through various forms such as email, excel files and pdf POs can now be analysed by AI and with text extraction, the orders can be automatically passed into the ERP order system with the necessary checks in place to ensure the order is processed correctly.

Building Budgeting & Reporting

  • Introducing a top-class budget process that includes the design of a detailed budget, the process for annual planning, and the month close reporting presented visually in Microsoft's Power BI, is like having plated basketball in leagues for years but never having the performance statistics to help improve the team's productivity.

Designing Leadership Principles, Performance Review and Feedback Culture

  • Introducing leadership principles allows for consistent and effective leadership founded on a common set of values, beliefs and behaviours. These behaviours once defined, will require a culture of open and validated feedback. They will need to also guide how recruiting is exercised and how the official performance review behavourial metrics are set.

Organisational Changes to adapt to company's evolution and goals​

  • As companies evolve, their organisational structures need to adapt and align with the goals. This often requires reshuffling, creating new departments with new personnel, introducing new roles to existing departments, or outsourcing where and when this more beneficial.

Implementing Workflow & Approval Processes

  • Processes to ensure governance, getting the right level of approvals & other safety check workflows may seem excessive until something goes wrong. The implementation of basic approval workflows through Microsoft Teams interface, the introduction of clear rules of engagement for data governance, rules for pricing strategies are not only necessary longer term but have also proven priceless in upgrading the quality of work and output.

  • Presenting your work, ideas, proposals through presentations is a powerful tool for communication, alignment, understanding data and taking action. And yet this basic concept, something so trivial is typically executed so poorly. Communicating data correctly, clearly and comprehensively to validate an idea, a proposal can bring better understanding, faster alignment and can therefore speed up decision making. Top quality presentations at all levels uplift the company's branding and perception to one that projects professionalism.
